The people who turn up and don't mention that they are on here, can you not ask them to mention that they are coming on here in advance? That way, you'll know numbers in advance. It only takes them a second and if they understand it's logistically important perhaps they'll take that second. I assume they are members on here as they know the meet is happening?
Events do even have an RSVP facility so it's as simple as clicking 'yes' to say they're coming. The facilities are all here.
